Complete all required forms before attending a Versara Learning Collective experience. Some forms are required once per school year, while others apply only to specific events.

Annual Family Registration & Waiver

Welcome to Versara Learning Collective!

Please complete this form once per school year for your family. This information helps us provide safe, organized, and enjoyable educational experiences. If your contact, medical, or emergency information changes during the year, please submit an updated form.

Parent / Guardian Information

Emergency Medical Authorization

I authorize Versara Learning Collective staff or volunteers to obtain emergency medical treatment for my child(ren) if I cannot be reached immediately. I understand that every reasonable effort will be made to contact me first.

 Photo & Media Release

I grant permission for Versara Learning Collective to photograph or record my child(ren) during programs and events for educational, promotional, and social media purposes. No names or personal information will be published without additional permission.

Safety & Expectations

Welcome

At Versara Learning Collective, our goal is to provide safe, engaging, and meaningful educational experiences for every family. These guidelines help create a positive environment where students can learn, explore, and enjoy each activity.

Before the Event

Families are responsible for:

  • Registering for the event before attending.

  • Completing all required forms and waivers.

  • Arriving at least 10–15 minutes before the scheduled start time unless otherwise instructed.

  • Wearing clothing and footwear appropriate for the activity.

  • Bringing any required items listed in the event description.

  • Informing Versara staff of any allergies, medical conditions, or accommodations before the event.

During the Event

To ensure everyone's safety:

  • Students must remain with the group unless given permission by a parent or Versara staff.

  • Follow all instructions provided by Versara staff and the host organization.

  • Respect all facility rules and safety procedures.

  • Treat staff, volunteers, presenters, and other participants with kindness and respect.

  • Walk indoors unless the activity specifically allows running or physical play.

  • Food and drinks are only permitted where allowed by the venue.

Parent / Guardian Responsibilities

Unless an event is clearly identified as a drop-off program, a parent or designated adult must remain responsible for supervising their child(ren).

Parents and guardians agree to:

  • Maintain current emergency contact information.

  • Supervise children appropriately.

  • Help students follow all rules and instructions.

  • Notify staff immediately of any illness, injury, or safety concern.

  • Be respectful toward other families, staff, volunteers, and host locations.

Student Expectations

Students are expected to:

  • Listen carefully to instructions.

  • Participate respectfully.

  • Use appropriate language.

  • Respect people, property, equipment, and animals.

  • Keep hands, feet, and objects to themselves.

  • Stay with the group.

  • Represent the homeschool community positively.

Health & Safety

For the safety of everyone:

  • Students who are experiencing a fever, vomiting, diarrhea, or other contagious illness should remain home.

  • Parents should inform staff of any medical conditions, allergies, or emergency medications.

  • Emergency medications (such as EpiPens or inhalers) should remain immediately accessible to the parent or responsible adult unless otherwise arranged.

Weather & Emergencies

Outdoor events may be modified, postponed, or canceled due to weather or unsafe conditions.

Families will be notified as soon as possible if changes are necessary.

Respect for Host Locations

Many Versara experiences are hosted by community partners.

Families are expected to:

  • Follow all venue rules.

  • Respect staff and volunteers.

  • Leave facilities clean.

  • Avoid entering restricted areas.

  • Help preserve positive relationships with our community partners.

Dismissal From an Event

Versara Learning Collective reserves the right to remove any participant whose behavior creates a safety concern or significantly disrupts the learning experience.

Depending on the circumstances, future participation may also be affected.

Liability Waiver

I understand that participation in educational programs and field trips may involve certain inherent risks. I voluntarily assume these risks and release Versara Learning Collective, its staff, volunteers, and partner organizations from liability except in cases of gross negligence or willful misconduct, as permitted by applicable law.

Cancellation & Refund Policy

At Versara Learning Collective, we work closely with community partners, educational venues, and instructors to provide meaningful learning experiences. Because reservations, materials, and staffing are often confirmed in advance, the following policy applies to all registrations.

Participant Cancellations

  • Cancellation eligibility varies by event. Please refer to the cancellation policy listed on the event registration page. When possible, Versara Learning Collective may issue a credit that can be applied toward a future event.

  • Some events hosted by third-party partners may have different cancellation requirements. Any event-specific policy will be clearly communicated during registration.

Event Cancellations

If Versara Learning Collective cancels an event due to weather, low enrollment, venue changes, or circumstances beyond our control, families will be offered one of the following, when applicable:

  • A full refund;

  • A credit toward a future event; or

  • The opportunity to transfer the registration to a rescheduled date.

No-Shows

Participants who do not attend an event without prior notice are not eligible for a refund or credit.

Step Up for Students Scholarship Payments

For registrations paid through the Step Up for Students scholarship, refunds are subject to Step Up for Students policies and processing timelines. When permitted, Versara Learning Collective may offer a credit toward a future eligible program instead of processing a refund.
